WhatsApp message templates
Send first, with wording WhatsApp has cleared
Outside an open conversation, WhatsApp only carries messages it has reviewed. Templates are how you start one — written here, submitted to Meta, and tracked through to approval.
Status comes back from Meta and updates in the list — draft, pending, approved or rejected.
Variables are highlighted as you write, so you can see every blank the send has to fill.
A media header needs a sample file for review — the customer never receives that sample.
How it works
01
Draft it
Write the body, pick a category and a language, add a header and buttons if you need them, and save it as a draft.
02
Submit to Meta
One button sends it for review. The template moves to pending and the status syncs back from Meta on its own.
03
Approved, or fix and resubmit
Approved templates become available to campaigns, flows and rules. Rejected ones show Meta’s reason so you can edit the wording and send it again.
04
Use it
Pick the template in a campaign or a rule and fill the variables per recipient. Approved templates lock down — a change means a fresh submission.
Review sits with Meta, so we do not quote an approval time. What we do show is the exact status and, when something is turned down, the reason they gave.
What it does
Three categories
Marketing, utility and authentication. The category you choose decides how Meta reviews it and how the conversation is charged.
Four header types
A header can be plain text, or an image, video or document. Text headers can carry a variable too.
Sample media for review
A media header needs a sample file attached for Meta to review. That sample is not what customers receive — the real file is supplied at send time.
Numbered or named variables
Use {{1}}, {{2}} or named placeholders. Every variable becomes a column to fill when the template is sent.
Buttons
Add buttons that open a URL or start a reply. Quick replies come back into the inbox as a normal customer message.
Status synced from Meta
Draft, pending, approved and rejected all reflect Meta’s own state — not a local guess. Rejections carry the reason.
Approved templates lock
Once cleared, wording is fixed. Editing creates a new version that goes through review again, so nothing goes out unreviewed.
What the customer sees
A normal WhatsApp message from a business they recognise, with their own order details and a way to answer in one tap.
